Responsibilities:

To provide administrative and operational support to the environmental services department, while assisting in maintaining a clean, safe and sanitary environment.

  1. Serves as a central point liaison with other departments and external constituencies in the resolution of a variety of day-to-day matters concerning the department.
  2. Processes confidential materials, types departmental reports, memos, policies and procedures, job descriptions, warning notices and correspondence as necessary.
  3. Answers telephone calls, handles communications within both for internal and external department.
  4. Schedules and maintains department calendars; schedules, coordinates and facilitates meetings, and/or events as required.
  5. Receives, sorts, prioritizes and distributes all mail including hand delivery if indicated.
  6. Maintains attendance records of employees.
  7. Follow-up on operational commitments.
  8. Establishes, updates, and maintains department's file.
  9. Assist with coordinating joint projects, events or other activities where environmental services can assist other department in achieving mutual interests.
  10. Plans and schedule daily cleaning assignments, other than routine. 11.Working with the purchasing department, coordinates the purchase of equipment and furnishing needed for the environmental services department.
  11. Process payroll
  12. Directs visitors and/or screens calls appropriately.
  13. Maintains employee files and effective retrieval system.
  14. Provides scheduled coverage for day and weekend department support as required.
  15. Provide one-on-one guidance and assistance to staff regarding computerized In-service (Net Learning System).
  16. Work to resolve quality assurance issues with departments in a timely manner.
  17. Coordinate and maintains the regulated/hazardous tracking system.
  18. Coordinates and maintains the Budget Tracking Program.

Qualifications:

Education: 2 years Associates Degree Preferred

Experience: One to two years of administrative/secretarial position.

Other: Demonstrate secretarial skills, typing — 60 wpm, knowledge of Microsoft Word and Excel.

Demonstrated ability to read, write and communicate in English proficiently.

Able to exercise discretion, initiative and tact. Maintain an organized, detail-oriented approach in the performance of duties.
